Privacy policy

Last updated: October 22, 2026

This policy describes how Sphere Media Inc. handles information collected through spheremedia.com and enquiries sent to us. Other websites linked from this site, including our portfolio properties, have their own privacy notices.

Information you provide

When you contact us, we receive your name, email address and message, together with any optional details you provide. Depending on the form, these may include your company, website, service interest, service area, referral preferences, budget, timing, brokerage, market, existing tools or project priorities. Please avoid including passwords, payment details or sensitive information that is unnecessary for your enquiry.

How we use information

We use enquiry information to respond, understand your needs, discuss potential work and maintain records of those conversations. We also use limited technical information to operate the site, troubleshoot delivery and reduce automated or abusive submissions. Sending an enquiry does not subscribe you to a marketing mailing list.

Browser storage and optional analytics

The site can store a campaign category and a measurement opt-out preference in your browser’s session storage. This storage is scoped to the browser tab’s session. Campaign categories may also accompany your enquiry so we can understand how you reached us. On our landing pages, campaign source, medium and campaign tags from the current link, plus the referring site’s origin, may accompany your enquiry; they are not included in package analytics events.

When enabled, Vercel Web Analytics receives selected events such as service-link clicks, enquiry starts and accepted enquiries. Our event properties use predefined page, service and campaign categories; they do not include your name, email address, message, budget or other form content. Our implementation disables automatic page-view tracking. On our website-package and agency-delivery landing pages, we explicitly measure page visits. If Vercel custom events are enabled on a supporting plan, we also measure package selections, enquiry starts and accepted enquiries using only the page source and a predefined package label. Query strings and URL fragments are removed.

Our campaign storage and optional event measurement respect browser Do Not Track and Global Privacy Control signals. You can also turn off optional event measurement for this tab’s session. You can clear session storage using your browser settings. These choices do not prevent you from sending an enquiry, and do not disable technical processing needed to deliver the website.

When configured, Google Analytics loads only after you choose “Allow analytics.” It measures page visits, service interest, package selections, enquiry starts and successfully accepted enquiries. We send predefined page and service categories, without enquiry contents, query strings or URL fragments. Referrer information is limited to the referring site’s origin. Google also receives technical information needed to provide analytics, including browser and device information, and uses first-party cookies to distinguish visits. Our integration sets a 90-day cookie lifetime, which can renew on later visits, and disables Google signals and advertising personalization.

Your Google Analytics choice is saved in local storage until you change it or clear browser storage. You can change it through “Analytics settings” on the site; declining stops this integration’s collection and removes its first-party Analytics cookies. Do Not Track, Global Privacy Control and the session opt-out above also prevent Google Analytics from loading. Data already received by Google is not erased by changing your browser choice. See Google’s privacy policy for its processing practices. Visitors who decline analytics can still use the site and send enquiries.

Portfolio previews and interactive demonstrations

Some portfolio previews load the linked website inside this page when you hover over or focus its link. Those websites and their providers may receive technical information and apply their own privacy practices even if you do not open a new tab. We suppress the referring page address for these embedded previews. Some portfolio images also load from Cloudinary.

The TreeGen demonstration lets you choose bark or foliage images from your device. These files are decoded in your browser for that session; the demonstration does not upload them or save them to our systems. Its controls and edits are also session-only.

Service providers and sharing

The site uses Vercel for hosting and Resend for form email delivery. Enquiries are delivered to Sphere’s contact inbox. Where configured, a private Vercel storage queue and our lead-management system also keep an operational copy of the enquiry, its submission time, source and delivery status.

Hosting, email and analytics providers may process technical information, such as IP addresses and browser information, to deliver and protect their services. Information may be processed outside your province or country, subject to the laws where it is processed.

We may disclose information when legally required or necessary to address misuse or protect rights and safety. If your enquiry involves a referral or introduction to another business, we will discuss the intended handoff with you before sharing your contact details for that purpose.

Retention and security

Enquiry information may be held in email and operational records. Retention depends on the purpose of the conversation, any resulting engagement and applicable recordkeeping obligations. You can contact us to request deletion of information that is no longer needed.

We use safeguards appropriate to the information and systems involved, including server-side handling of delivery credentials and private access for the optional lead queue. No online transmission or storage system can be guaranteed completely secure.

Your choices and requests

Contact us to request access to or correction of your personal information, ask about its use, request deletion, or withdraw consent where applicable. We may need to verify your identity, and some records may need to be retained to meet legal or contractual obligations. We will explain any limits that apply to your request.

Other sites and policy changes

Following an external link takes you to a service governed by its own policies. We may update this policy as the site or our information practices change, and will update the date above.
